Privacy Policy

This Privacy Policy explains how Buffalo Property Inspections, LLC(“Buffalo Property Inspections,” “we,” “us,” or “our”) collects, uses, and shares information when you use the BPI Home Hub (the “Portal”). It is part of, and incorporated into, our Terms of Service. By using the Portal, you agree to this Policy.

We do not sell, rent, or trade your personal information - ever. Buffalo Property Inspections earns money only through optional partner referral links that you choose to click, and through partner discounts - never by selling your data.

1. Information we collect

We collect:

  • Account information- your name and email address, and the authentication identifiers from your sign-in method (Google or Apple sign-in, a passwordless email “magic link,” a one-time email sign-in code, or a password if you set one).
  • Inspection reports and their contents - the report files you upload and the information extracted from them, such as property address, findings, descriptions, and related details.
  • Documents you upload to your Home Vault - files you choose to store, such as appliance manuals, warranties, receipts, and photos, along with the category and appliance you tag them with. These are private to your account.
  • Home details you provide - answers you enter in optional tools such as the Energy Efficiency Check (for example, approximate home age, heating and cooling, water heater, insulation, windows, and thermostat). This is self-reported and informational.
  • Usage and interaction data - your activity in the Portal, your notification and dashboard preferences, and records of when you click a referral or recommended-product link (for example, which partner and which property the click related to).
  • Communications - messages you send us (such as feedback or support requests).
  • Technical and log data - information generated automatically when you use the Portal, such as device, browser, IP address (and approximate location derived from it), error logs, and - if you enable notifications in the mobile app - a push notification token for your device, used to operate and secure the service and to deliver notifications you have turned on.
  • Consent and acknowledgment records. When you accept our Terms, give consent to partner or affiliate referrals, or acknowledge a disclaimer, we record the date and time, your IP address, and the device and browser (user-agent) used - so we keep an accurate, auditable record of your choices.

2. How we use information

We use information to:

  • provide, maintain, secure, and improve the Portal;
  • analyze your uploaded report and generate summaries, tiers, ballpark costs, and maintenance suggestions;
  • store the documents you upload to your Home Vault and make them available to you;
  • generate your optional, informational Energy Efficiency snapshot from the home details you provide;
  • authenticate you (including passwordless sign-in links and one-time email codes) and send service messages, and push or email notifications you have not turned off;
  • present relevant home-maintenance and homeownership-setup suggestions and measure engagement with them;
  • detect, prevent, and address fraud, abuse, security, and technical issues;
  • keep accurate, auditable records of the agreements, consents, and acknowledgments you provide; and
  • comply with law and enforce our Terms.

3. AI processing of your report

To generate your summary, the text of your uploaded report is sent to our third-party artificial-intelligence provider, Anthropic (the Claude API), for processing under their terms, and the results are returned to the Portal. This processing is automated. We use it to provide the service to you, not to publicly disclose your report.

4. How we share information

We do not sell your personal information. We share information only as follows:

  • Service providers who host and operate the Portal on our behalf and process data under contract - including cloud hosting and deployment, database and file storage, AI-based text analysis, and email delivery.
  • Referral partners - these offers are optional and you initiate them. We do not sell or hand your information to partners to place offers; your information reaches a partner only if you choose to click their link and continue on their site, after which that third party’s own privacy practices apply (which we do not control). Some partners offer discounts to Buffalo Property Inspections clients.
  • Legal and safety - when we believe disclosure is required by law or legal process, or is necessary to protect the rights, property, or safety of Buffalo Property Inspections, our users, or others.
  • Business transfers - in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
  • Sharing you initiate - if you create a shareable report link, anyone with the link can view that summary.

5. Service providers we rely on

We use reputable third-party providers to run the Portal, which may include cloud hosting/deployment, a database and file-storage platform, an AI text-analysis provider, an email-delivery provider, and an authentication provider. These providers process data only to provide their services to us. The specific providers may change over time as we improve the Portal.

6. Cookies and tracking

We use cookies and similar technologies that are necessary to sign you in and keep your session secure, to remember your preferences, and to record referral and product-link clicks so we can understand which suggestions are useful. On the web version of the Portal we also use Google Analytics to understand how the site is used; it is not enabled in our native mobile app. We do not use the Portal to serve third-party advertising.

7. Data retention and deletion

We keep your information for as long as your account is active or as needed to provide the Portal, comply with our legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated data by emailing support@buffalopropertyinspections.com; when we delete an account, we remove the associated reports, extracted findings, maintenance data, Home Vault documents, energy-check answers, and uploaded files, subject to limited copies that may remain in backups or as required by law.

8. Security

We use administrative, technical, and organizational measures designed to protect your information, including access controls and row-level data isolation between accounts. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your sign-in method and any share links secure.

9. Your choices and rights

You can update your name and notification preferences anytime in your account settings. Depending on where you live (for example, Texas and other U.S. states with privacy laws), you may also have the right to:

  • access and confirm whether we process your personal information;
  • correct inaccuracies in your personal information;
  • delete your personal information;
  • obtain a portable copy of the personal information you provided to us; and
  • opt out of any sale of personal information or targeted advertising (note: we do not sell personal information or run targeted advertising), and be free from discrimination for exercising these rights.

Universal opt-out signals. We honor recognized browser-based universal opt-out mechanisms (such as Global Privacy Control) for the sale of personal data and targeted advertising. As noted above, we do not sell personal data or engage in targeted advertising, so there is nothing to opt out of, but we will continue to respect these signals if our practices ever change.

How to submit a request. Email support@buffalopropertyinspections.com with the word “Privacy” in the subject line and tell us which right you wish to exercise. So we can act on the right account, please send your request from the email address on your account, or include enough detail for us to verify your identity. An authorized agent may submit a request on your behalf with proof of authorization. We do not charge a fee for most requests.

Our response. We will respond without undue delay and within 45 days of receiving your request. When reasonably necessary, we may extend this period by an additional 45 days and will tell you if we do, along with the reason.

Right to appeal. If we decline to act on your request, we will tell you why. You may appeal that decision within a reasonable time by emailing support@buffalopropertyinspections.com with “Privacy Appeal” in the subject line. Within 60 days of receiving your appeal, we will inform you in writing of any action taken or not taken and the reasons. If we deny your appeal, you may submit a complaint to the Texas Attorney General at texasattorneygeneral.gov.

10. Children

The Portal is intended for adults (18 and older) and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.

11. Changes to this Policy

We may update this Policy from time to time. We will update the “Effective” date above and, for material changes, may provide additional notice. Your continued use of the Portal after an update means you accept the revised Policy.
